GENERAL
1. All details of the event or meeting room booking including the estimated number of attendees, duration of the function, menus, beverages, entertainment, audio-visual equipment, room setup, time schedules, etc. must be confirmed by the client in writing seven (7) days prior to the event/booking.
2. The client is responsible to report any fault in equipment provided by ALBERTS as it occurs. If reported in a timely manner, ALBERTS will do everything in its power to fix the problem and ensure seamless running of the function. If the problem with the equipment is not reported as it occurs, ALBERTS reserves the right to fully charge for the use of the equipment provided by ALBERTS.
3. ALBERTS will provide all catering on the premises. No food or beverage may be brought onto the premises for consumption before, during or after a function without prior written approval from ALBERTS. If outside catering is brought on the premises, ALBERTS reserves the right to charge a penalty fee.
4. If guests have any allergies, it is important the client notifies ALBERTS with details of the allergies so that our chefs can accommodate the dietary requirements. While our chefs are happy to prepare and cook food that does not contain certain food products, there is some risk of airborne cross contamination. If a guest has a SEVERE food allergy you are required to inform our team ahead of time so that other arrangements can be made to accommodate this.
5. The client can hire external contractors to decorate or setup a room. All exhibitions and stage sets produced by external contractors must be approved by ALBERTS and must follow ALBERTS health and safety policy. All outside contractors must liaise with the Events Manager in all matters of delivery, setup, and breakdown.
6. All property belonging to or arranged for by the client must be dismantled and removed from the premises at the conclusion of the function. ALBERTS does not have storage facilities and does not accept liability for any damage incurred to uncollected goods. Any items left behind after the function will be deemed abandoned.
7. The client should ensure that all goods/packages to be delivered to ALBERTS are adequately marked. Packages to be collected after the event should be sealed and properly addressed.
8. Any form of advertising or promotion to the public for any function is not permitted without the written approval of the ALBERTS.
9. No vaping or smoking is permitted on ALBERTS premises.
CONFIRMATION OF THE EVENT/MEETING
1. Bookings are required in writing to ALBERTS (email or written form), and will be confirmed by ALBERTS in email form.
2. For all event bookings full payment to the value of the room hire is be paid at the time of booking. We require a credit card on file to confirm your booking.
3. A booking will need to be confirmed and the deposit paid within 7 days from receiving a proposal. ALBERTS reserves the right to cancel the booking and allocate the venue to another client until such time as the deposit is paid. The space will not be cancelled or re-allocated without informing the client in the first instance.
4. For all meeting room bookings a final invoice will be emailed post meeting where you can pay via a secure pay like or bank transfer.
POSTPONEMENT OR CANCELLATION OF THE EVENT
1. CANCELLATION
EVENTS:
Cancellations with or within 14 days notice shall result in 50% of the booking fee not be refunded.
Cancellations within 3 days notice or less shall result in none of the booking fees and food and beverage charges being refunded.
MEETING ROOMS:
Cancellations with 48 hours or more notice shall result in 50% of the booking fee will not be refunded.
Cancellations within 24 hours or less notice shall result in none of the booking fees, food and beverage charges being refunded.
2. POSTPONEMENT
If the event is postponed at least 14 days prior to the original date then the deposit and any payments may be transferred to the new date.
3. If an event is cancelled due to COVID-19 or similar government restrictions prohibiting the ALBERTS from delivering the booked services, we will offer available dates for transferring the event. If the event is non-transferable, we will arrange a refund in full.
4. Where ALBERTS has booked outside services for the event, the client may incur the full charge of these services.
NUMBER OF CLIENTS ATTENDING
1. The client is to provide ALBERTS with an estimated number of attendees at the time of the event enquiry.
2. The client is to provide ALBERTS with the final number of attending guests seven (7) days prior to the event.
3. Billing for the event shall be based upon the confirmed numbers, or the actual number attending the event, whichever is the greater.
STAFFING
Spaces booked outside of staffed hours (8am-6pm Monday to Friday) will incur additional fees of $50 per staff member per hour.
FACILITIES, DAMAGES AND CARE OF THE VENUE
Each room must be returned to the original condition it was in prior to the booking. Please note that we do not allow paper or other items to be nailed, screwed, stapled or adhered to be placed on the walls in the meeting rooms and any damage could incur an additional fee. Clients can refer to the brochure or speak to Concierge for additional services, such as whiteboards, that may be required.
The Client shall be liable for the costs of repair of damage to the premises or equipment by the Client, the Client’s guests, invitees, outside contractors engaged by the client or other persons attending the event.
1. ALBERTS reserves the right to monitor all private functions.
2. ALBERTS accepts no liability for any damage or loss to any goods, services, or property whether hired or personal or any other property brought onto the ALBERTS premises in connection with the event. The client indemnifies ALBERTS against any of such losses or damage claims.
3. Smoke machines, special balloon effects and/or pyrotechnics may not be operated without prior approval in writing from ALBERTS. In accordance with industry practice with regards to fire protection, the ALBERTS is prevented from turning off or isolating its fire protection system in any function areas at any time. Should the Fire Brigade respond to an alarm caused by unauthorised usage of such effects, the client will be liable for any charges incurred by the ALBERTS.
4. The client is financially responsible for charges incurred by ALBERTS in relation to rubbish disposal and restoring the venue to acceptable levels of cleanliness and tidiness after the event. Failure to observe the latter will result in the full charge of repair to the building/venue being charged to the client.
SAFETY AND SECURITY
1. It is understood that the client will conduct their event in an orderly manner in full compliance with ALBERTS, its staff, and all applicable laws. The client will be responsible to ensure the orderly behaviour of their guests, attendees, and contractors.
2. By booking with ALBERTS the client agrees that any and all equipment being brought to the ALBERTS premises complies with current health and safety regulations.
3. ALBERTS reserves the right to intervene where it deems necessary and/ or to exclude any objectionable or intoxicated persons from the premises without liability.
4. The client’s contact will liaise at all times with the ALBERTS management and will be the primary point of contact before, during and after the event and/or meeting.
5. ALBERTS reserves the right to employ security for the property and people with the costs added to the client’s account, where it is felt the need is required.
ROOM ALLOCATION
1. Room hire charges are quoted for a usage of space for a specific period of time. Utilisation of space outside times quoted or additional space required will incur additional room hire charges and will be subject to availability.
2. The client is responsible for ensuring that adequate time is booked for set-up and breakdown of events.
3. Please note that all events need to conclude, and guests leave the ALBERTS premises by midnight on day of event.
4. ALBERTS reserves the right to assign an alternative room where the original room is inappropriate or unavailable due to circumstances beyond its control. ALBERTS will make every effort to organise a suitable room and will inform the client as early as possible.
PRICING
Every possible effort is taken to maintain prices, but these are subject to change without notice at ALBERTS discretion to allow for market cost variations.
PAYMENT DETAILS
EVENTS: Full payment is required to secure your booking.
MEETING ROOMS: For any meetings rooms not prepaid by credit card, a final invoice will be emailed post meeting where you can pay via a secure pay link or bank transfer.
This payment can be made into our account using the event/meeting date and company name as the reference.
